๐ŸŽฏ What You'll Learn

๐Ÿ“‹ Before You Begin

Navigation & Interface Discovery

Students often treat Office.com as just a "list of links." These three exercises prove it's a full OS in the browser.

1
The "Waffle" vs. The "Sidebar"
Open Office.com and locate the App Launcher โ€” the 9-dot "waffle" grid icon in the top-left corner. This is your gateway to every M365 app, including ones not shown in the left sidebar.
โœ… Task: Use the App Launcher to find an app that is not on the sidebar โ€” try Clipchamp or Forms. Right-click it โ†’ "Pin to sidebar". Confirm it now appears in your left nav.
2
The Template Hunt
Click the (+) Create button on the Office.com home page. Browse to the "Business" category and find an Invoice or Social Media Tracker template. Templates in M365 are pre-built, cloud-hosted, and versioned โ€” unlike local Office files.
โœ… Task: Open the Invoice template โ†’ rename it to Student_Demo_Invoice โ†’ save it to OneDrive. Find the auto-saved copy in OneDrive โ†’ My Files.
3
Search Logic โ€” Content vs. Filenames
The central search bar at the top of Office.com is smarter than Google Drive's search. It finds three things simultaneously: file names, text inside files, and app commands (like "insert table").
โœ… Task: Type Invoice in the search bar. Observe the results โ€” you should see the file you saved and a "Create Invoice" action suggestion. Notice the difference from just a filename search.
โŒจ๏ธ
Key Shortcut: On Windows, press Alt + โŠž Win to directly open the Office App launcher from the desktop.

The OneDrive Spine

Coming from Google Drive? Here's what's different: My Files vs. Shared with Me, the Recycle Bin logic, and the killer PDF-to-Word conversion feature.

4
Folder Architecture
OneDrive's folder structure works identically to Google Drive's "My Drive." The key difference is that OneDrive syncs with your Windows File Explorer natively โ€” you can drag files from your desktop browser window directly into the OneDrive web tab.
โœ… Task: Create a top-level folder named [YourName]_Projects. Inside it, create two subfolders: Data_Sources and Final_Outputs. This mirrors a real project folder structure used in workplaces.
5
The "Upload & Convert" Test
One of M365's most powerful features is PDF-to-Word conversion โ€” a process that Google Docs often handles poorly with complex layouts, tables, and formatting. M365 uses AI to reconstruct the document structure.
โœ… Task: Upload a local PDF to OneDrive โ†’ Data_Sources folder. Once uploaded, right-click the PDF โ†’ "Open in Word." Observe how the PDF becomes a fully editable Word document in your browser. Test editing a line of text.
6
Version History Combat
OneDrive automatically saves a version every time you stop typing for ~30 seconds. This is your safety net โ€” and it's how you recover from accidental deletions or "I ruined the document" moments.
โœ… Task: Open any document in Word Online. Type random gibberish (e.g., asdfjkl;qwertyuiop). Wait a few seconds, then close the tab. Reopen the file โ†’ click the file name at the top โ†’ select "Version History." Restore the previous clean version.
๐Ÿ’ก
Pro tip: To quickly upload, simply drag & drop a file from your desktop directly into the browser OneDrive tab. No "Upload" button click needed.

Copilot & AI Fundamentals (Free Tier)

๐Ÿ“Œ
Free Tier Note (2026): On the free plan, Copilot lives primarily in the Copilot Web Chat and the Microsoft 365 Copilot App in the left sidebar. It is not embedded inside Word or Excel ribbons โ€” that requires a paid M365 Copilot licence.
7
The Content Strategist
Open the Copilot App from the left sidebar (it looks like a colourful spark icon). This is your AI assistant โ€” use it before opening Excel, not just after you're stuck.
โœ… Prompt to try: "I am building a dashboard for a coffee shop. Suggest 5 key metrics I should track in Excel, and explain why each one matters."

Copy Copilot's response. You'll use these exact metric names when you build your Excel sheet later in Phase 4.
8
The Summarisation Loop
Copilot can restructure raw text into formatted tables, bullet points, or executive summaries. This is the "Tell me, don't just show me" prompting philosophy โ€” instead of asking Copilot to show a document, instruct it to format information the way you want it.
โœ… Task: Copy a long article from any news website. Paste it into Copilot chat. Then ask: "Format this summary into a 3-column table: Topic | Key Detail | Impact."

Observe how Copilot extracts structure from unstructured text โ€” a task that would take a human 10โ€“15 minutes.
9
AI File Search Integration
Copilot is connected to your OneDrive and can act as a personal file assistant. Instead of browsing folders, you can ask for files in natural language โ€” exactly like talking to a colleague who has access to your drive.
โœ… Task: Ask Copilot: "Find the file I created about 15 minutes ago named Invoice."

Goal: Confirm Copilot returns a link to the Student_Demo_Invoice file you created in Phase 1. This demonstrates Copilot acting as a Personal Assistant for your file system.
๐Ÿง
Prompting Principle: Always use the "Tell me, don't just show me" pattern. Instead of "Show me my files", say "List my 5 most recent Excel files and what they contain." Specificity drives better outputs.

Collaborative Ecosystem & Forms

Google Forms saves responses to a Google Sheet. MS Forms does too โ€” but it creates a Live Excel Workbook in OneDrive that auto-refreshes without any manual export step.

10
Build a Feedback Survey in MS Forms
Open MS Forms (pin it from the App Launcher if needed). Click "New Form." MS Forms supports question types that go beyond Google Forms: Likert scales, Net Promoter Score, branching logic, and file uploads.
โœ… Task: Create a 3-question survey:
  Q1 โ†’ Text: "Your Name"
Q2 โ†’ Likert (Rating): "Rate this session (1โ€“5)"
Q3 โ†’ Choice (Multiple): "What is your dashboard goal?" with 3โ€“4 options

Then: go to the Share menu โ†’ generate a QR Code for sharing. This is faster than sending a link.
11
The "Live" Excel Connection
Unlike Google Forms, which creates a linked Sheets file only when you manually click "Link to Sheets," MS Forms automatically generates a live Excel workbook the moment you click "Open in Excel." Every new response instantly appears as a new row โ€” no manual refresh needed.
โœ… Task: In your Form โ†’ click the Responses tab โ†’ click "Open in Excel." Keep this Excel tab open. Now have a classmate submit your form using your QR code. Watch the new row appear in Excel in real time without refreshing the page.
12
Build Your First Mini-Dashboard
The live Excel sheet is your raw data source. Adding a chart on top of it creates a live dashboard โ€” the chart updates automatically every time a new form response comes in, with zero additional configuration.
โœ… Task: In the Forms Excel sheet, click on the Rating column data. Go to Insert โ†’ Chart and select Pie Chart. Resize and position it. Submit another test response through the form. Observe the Pie Chart update automatically.

๐ŸŽ‰ Congratulations โ€” you've built your first real-time dashboard!
๐Ÿ“ค
Sharing Tip: In MS Forms, go to Share โ†’ QR Code to generate a scannable code. This is faster for in-room sharing than copying a URL and is ideal for classrooms, events, and training sessions.
